Set up and manage bookings in Kommo

What you’ll need:

  • Any Kommo plan or a 14-day trial to set availability and manage bookings manually

  • Admin access to create booking types, configure availability, and manage bookings

  • The Pro or Enterprise plan, or a 14-day trial, to use the booking page and booking links

  • The Advanced plan or higher to send client confirmations and reminders with Salesbot

  • The Pro plan or a 14-day trial, plus an active AI package, to automate bookings with the AI agent

  • A connected communication channel if you plan to use Salesbot or the AI agent

Keep in mind:

  • You can configure availability for the whole team and for individual users.

  • Bookings cannot overlap with other bookings, but tasks can overlap with bookings.

  • The booking page requires at least one booking type, an available time slot, and an assigned pipeline. Without an assigned pipeline, the page and its links are disabled.

  • A team booking link can create a new lead or connect the booking to an existing lead, depending on your Duplicate control settings. A lead-specific link keeps the booking connected to the same lead.

  • Clients can reschedule or cancel a booking from the booking page.

  • Client confirmations and reminders are not sent automatically. You must configure them with Salesbot.

  • The AI agent replies only to incoming messages and cannot start a conversation.

This guide helps you launch an end-to-end booking workflow in Kommo. You’ll prepare the pipeline, configure availability, choose how clients book, set up reminders or AI automation, and test the complete experience before sharing it with clients.

Choose your booking flow

Kommo supports three main booking flows. Start with the simplest option that matches how your clients already schedule appointments.

The AI agent answers questions, collects details, offers available times, and creates or updates the booking in Kommo.

Step 1. Plan the booking workflow

Before changing your settings, choose one important appointment type and define:

  • What clients can book

  • How long the appointment takes

  • How much preparation, travel, or buffer time is needed

  • Who is responsible for the appointment

  • What client information your team needs

  • What should happen after the appointment is completed, canceled, or missed

Start with one booking type, test the full workflow, and add more services only after the first version works reliably.

Step 2. Prepare the pipeline and booking source

Bookings are connected to leads, so your pipeline should show what happens before and after the appointment. A simple flow can include New inquiry, Booking requested, Booked, Appointment completed, and Follow-up required.

Add only the fields your team will use, such as the appointment goal, location, preferred format, service interest, and preparation details. Use tasks for internal work that is not the appointment itself, such as preparing a proposal or following up after the meeting. Learn more in Tasks & calendar overview.

If clients will use a booking page or team link, go to Calendar → Booking settings → Booking page. In Booking source & lead routing, assign the pipeline where booking leads should arrive. The booking page and its links do not work without an assigned pipeline.

Configure Duplicate control to decide whether a booking made through the team link creates a new lead or connects to an existing one. For details, see Use your booking page in Kommo and Set up Duplicate control.

Step 3. Configure booking types and availability

  1. Go to Calendar and click Booking settings.

  2. Create a booking type with a clear client-facing name, duration, buffer time, and responsible user.

  3. Open the Team tab and set working hours, breaks, and blackout dates for each responsible user.

  4. Open the General tab to block team-wide holidays or other unavailable periods.

  5. Save the settings and check the Calendar. Available periods remain white, while unavailable periods are shaded.

Step 4. Choose how clients book

Create a booking for a client

Use this option when you agree on the appointment during a call or conversation.

  1. Go to Calendar and click + New event.

  2. Select Booking.

  3. Select an existing lead or create a new one.

  4. Choose the booking type, date, and available time.

  5. Click Save. The booking appears in Calendar and remains connected to the lead.

Use the team link mainly for new clients. When a client books, Kommo creates a new lead or connects the booking to an existing lead according to the Duplicate control settings. Share the link on your website, in a chat or email, or through a saved message or Salesbot.

Use a lead-specific link for an existing client. The booking remains connected to the same lead, keeping the booking and conversation history together.

What clients can do on the booking page

Clients do not need a Kommo account. They can select an available service, specialist, date, and time; enter the required contact information; and confirm the booking. Afterward, they can reschedule or cancel the booking and add it to Google Calendar.

Step 5. Set up confirmations and reminders

Kommo uses different notification methods for teammates and clients:

  • Responsible users: Kommo’s built-in notifications can alert the assigned teammate when a booking is created and before it begins.

  • Clients: Use Salesbot to send booking confirmations and reminders through a connected channel. This requires the Advanced plan or higher.

Go to Calendar → Booking settings → Automation and configure a notification bot in Automate booking notifications. Choose the channel, message, and when it should be sent.

Include the date, time, service, specialist, location or meeting link, and any preparation instructions the client needs. Client notifications are not sent until this automation is configured. To learn how Salesbot works, see Create a Salesbot in Kommo.

Step 6. Automate booking conversations with the AI agent

On the Pro plan or during the 14-day trial, an AI agent with an active AI package can handle incoming booking requests. Depending on its actions and sources, it can answer service questions, collect client information, suggest available times, create or update bookings, change the lead stage, manage tags and fields, or transfer the conversation to a teammate.

  1. Connect the channel where booking requests arrive.

  2. Create the booking types and availability the AI agent should use.

  3. Add a knowledge source with service names, duration, pricing, preparation requirements, and important conditions.

  4. Configure the AI agent’s Persona and Actions.

  5. Test a new booking, another-time request, rescheduling, cancellation, unanswered question, and transfer to a teammate.

Step 7. Manage bookings day to day

Use the view that matches your task:

  • Board: Review bookings grouped as overdue, today, tomorrow, or next week.

  • List: Review booking details and manage multiple bookings, including completion, reassignment, rescheduling, cancellation, or deletion.

  • Calendar: Review availability and your daily, weekly, or monthly schedule.

You can also open an individual booking from the conversation with the lead. When a booking is canceled, it is removed from the lead and Calendar. See Manage bookings in Kommo.

Launch checklist

  • One booking type has been created with the correct duration, buffer time, and responsible user

  • Individual and team-wide availability match the team’s real schedule

  • The correct pipeline is assigned in Booking source & lead routing

  • Duplicate control produces the intended result for the team booking link

  • The lead-specific link keeps the booking connected to the existing lead

  • The booking page displays the correct services, specialists, and available times

  • Responsible users receive built-in booking notifications

  • Client confirmations and reminders arrive through the intended channel

  • The team can create, complete, reassign, reschedule, and cancel bookings

  • Any AI-agent booking actions have been tested before launch

Your workflow is ready when a client can create or request a booking, Kommo connects it to the correct lead and responsible user, scheduling conflicts are prevented, and the next action remains clear after the appointment.
